Calling every patient the day before works, but it needs someone to actually do it, every single day, without skipping a name when the desk gets busy. The moment that habit slips — during a rush, a staff member being off — no-shows creep back up.

  • Patients already read WhatsApp messages — open rates are far higher than SMS or email
  • A message can be sent in seconds versus a multi-minute call
  • Patients can just confirm or ask to reschedule in the same chat, no back-and-forth

What a good reminder actually says

Keep it short and specific: the patient's name, the date and time, and the clinic name. Vague reminders ("don't forget your appointment") get ignored more than ones that state the exact time — specificity is what makes someone glance at their calendar.

A reminder sent the same morning is far more effective than one sent a week ahead — a week out, the appointment isn't front-of-mind yet. The best results usually come from a reminder roughly a day before, plus a second one the morning of.

The mechanics matter less than consistency — a reminder that goes out every time, for every patient, without relying on someone remembering to send it, is what actually moves the no-show number.
